Inviting Users

Users join your InnerWorks organization through invitations. As an administrator, you can send individual invitations or upload a CSV file for bulk invitations.

Single invitations

To invite one user:

  1. Navigate to Invitations in the admin dashboard
  2. Enter the user’s email address
  3. Click Send Invitation

The user will receive an email with a unique invitation link. When they click the link, they’ll be guided through account creation and onboarding.

Bulk invitations

To invite multiple users at once:

  1. Navigate to Invitations in the admin dashboard
  2. Click Bulk Invite
  3. Upload a CSV file containing email addresses (one per row)
  4. Review the preview and confirm

The system will:

  • Skip any email addresses that already have a pending or accepted invitation
  • Send invitation emails to all new addresses
  • Report the number of invitations sent and skipped

CSV format

The CSV file should contain one email address per line:

maria@company.com
juan@company.com
ana@company.com

No header row is required, but if present, the system will skip rows that don’t contain valid email addresses.

Invitation lifecycle

Each invitation goes through the following states:

StatusDescription
PendingInvitation sent, waiting for user to accept
AcceptedUser clicked the link and created their account
ExpiredInvitation link expired (default: 7 days)
RevokedAdministrator manually revoked the invitation

Managing invitations

Resend

If a user hasn’t received or has lost their invitation email:

  1. Find the invitation in the Invitations list
  2. Click Resend

This sends a new email with the same invitation token. The expiry timer resets.

Revoke

To cancel a pending invitation:

  1. Find the invitation in the Invitations list
  2. Click Revoke

Revoked invitation links will no longer work. You can send a new invitation to the same email address if needed.

Invitation expiry

By default, invitation links expire after 7 days. You can adjust this in Settings > Invitation Expiry Days.

Expired invitations appear in the list with an “Expired” status. To re-invite, send a new invitation to the same email address.

Email delivery

Invitation emails are sent via Resend (a transactional email service). If email delivery fails, the invitation is still created in the system — you can resend it later.

Users should check their spam/junk folders if they don’t see the invitation email within a few minutes.

What users see

When a user clicks the invitation link:

  1. They’re directed to the InnerWorks sign-up flow
  2. They create an account (via Clerk authentication)
  3. They complete the 4-step onboarding process (values, situation, goals, preferences)
  4. Their first daily content is generated
  5. They can begin their 4R practice immediately
